If your company is not a registered Trust and therefore cannot issue Annexure K directly to employees, there are a couple of ways employees can obtain it themselves:
1. **Through the EPF Member Portal:** - Employees can access the EPF Member Portal (https://unifiedportal-mem.epfindia.gov.in/memberinterface/) using their Universal Account Number (UAN) and password. - After logging in, they can navigate to the "Download" section where various forms and documents are available for download. - Annexure K should be available for download if it has been uploaded by the previous employer.
2. **Requesting through EPFO Helpdesk:** - Employees can also reach out to the EPFO (Employees' Provident Fund Organization) helpdesk for assistance. - They can raise a request through the EPF Grievance Portal (https://epfigms.gov.in/) seeking Annexure K. They need to provide details such as UAN, previous employer details, and reason for requesting the document. - EPFO may then facilitate the provision of Annexure K directly to the employee.
3. **Requesting from Previous Employer:** - While your company cannot issue Annexure K directly, you can assist the employee by providing them with the necessary details or documents they might need to obtain it through the EPF portal. - Alternatively, you can issue a letter to the employee confirming the details of their EPF contributions and service period, which they can submit to their new employer.
It's important to guide the employee on the correct procedure and ensure they have all the necessary information to retrieve Annexure K. EPFO's online portals are generally user-friendly for such requests, but the process may vary slightly depending on individual circumstances and the efficiency of EPFO's systems.
If there are any specific details or documents required by the new employer, providing those promptly can facilitate a smoother transition for the employee.
