Query on Year closing in Tally.

02 May 2009 The financial year has been closed in Tally 7.2 version.



I do not want someone to accidentally make any more entries in that financial year as all the figures have been finalised and audited. Now I would like to block the accounting staff from making any more entries or edit entries for that financial year.But they should be able to view the transactions.How should I do it in tally. Please explain step by step.

Tally does not have any such 'block' feature. It is not possible to give a read only access in tally. But you can take following steps to take care of your concerns-

1. Do not carry forward the previous years a/c in current year. That is for new financial year open another company with same name but year change. Put audited op bal fig & do the rest of the accounting.

2. Put a password in last year tally so that it can opened only by a select few.

3. Start the audit log(a feature in tally) of last year's a/c so that you may know if anyone has made any changes in last year a/c.

The purpose of allowing users to give ready only access to users is to allow the concerned people to see all the transactions of debtors or creditors from the begining for reconciliation / payment purpose as well as to take an agewise report of Dr.s / Cr.s.

If I open a new company for a different year and put opening balances the users may not be able to access dr.s and cr.s data as mentioned above.

13 May 2009 Please Follow The Following steps,

Open Company
Press ALT+f3
Go-to alter
Enable Security ,Give User Name And Password.
(This Will be your Admin Password For the Company)
Save the setting and close company.

Open the Company again with the admin password.

Press ALt+f3
Go to security Control.
Go- to types of Security
Define Level-1
mention Cut off Date As 31st march 2009.

Save Security Level Settings.

Go to users And Passwords.
Create New Names and Passwords For all users in your company and define the security level as level-1.

Ps: If you already have security configured, Please Set Cut Off Date In All Security Levels .

Now Only User With Admin Password Can Change the Entries prior to 31st March.
You Can Secure tHis Password With yourself.
