I, a CA by profession with 30+ years of experience in many countries like NZ, Australia, UK and Nepal. I am intended to write you to share my experiences, as you may be at the same stage where I was 10 years ago. Let me introduce myself. At the start of my career, without technology, it was very time consuming to do all the accounting practices and cater the needs of the clients. There were lots of issues I faced that increase the expenses in terms of time and money. I always wanted to work more efficiently and effectively to meet my clients’ requirements. Then the innovation of Information Technology (IT) made me to think of using it in my profession.

I started with a desktop for accounting almost 30 years ago while working in Nepal as an accountant. During the tenure, I found lack of various tools that I feel could help me in doing my various daily tasks e.g. managing files, sending letters etc. The advent of World Wide Web and the emailing system really made the revolutionary change in sending the documents and the mails to the client. Immediately adopting that helped me increasing my productivity. But still document management, security of the clients’ documents etc are the various areas that needed IT’s help.  So I started thinking in the direction of how to transform the work of Chartered Accountant to be more productive and profitable.  Then only the seed of ACCLIPSE has been sown in my mind.  It is also understandable that switching from the current system to the new system is very difficult and thought provoking. But I think by putting some time on making such decision, if it really helps to improve your business, is not a bad deal. One thing is for sure. You have to be fully aware of the benefits you’ll be getting in such case. My future letters will share more of my that experiences with you. And I am sure, once you foresee the benefits, you will always go for the best for your business.

                So, how I see IT in accounting practices in India these days? It is just like the same as the first mobile service was introduced in India years ago. Computers are being used in CA’s offices but still managing the documents manually, wasting time in searching the client’s document.  As a CA, I suggest you to do one exercise that can give you clear picture of what I want to share with you. Calculate the working hours (include all the accountants of your office) you put to meet your clients’ requirements and then multiply them with the rupees that cost you per hour. That will give you the fare idea of how much you are spending and getting from your clients as your professional fees. Now assume that you use the software and then do the same calculation again. I am very much sure that you will see more profit than before (even with the cost of software). You wonder how come this is possible.  Simple answer:  Computer Software does not make human errors and depending on the features of the software that can reduce your printing etc costs.  e.g.

 

·         Let your website showcase your company and working culture.

·         Using internet  e-mails rather than typing the letters (cost less with no printing and postage)

·         Replacing file cabinets with e-cabinets that hold millions of files with searching capabilities.

·         Systematic and Secure File Management.
