Microsoft Outlook is a versatile component of the Microsoft Office for users to manage personal information and to communicate with others. It helps you in managing your email messages, appointments, contacts, and tasks, as well as making reminders and tracking activities. In this article, we will give  some useful keyboard shortcuts that will help you using outlook in a more easy, fast and quick way.

This is the first post in this series of articles for keyboard shortcuts:

 

Keyboard shortcuts for e-mail in MS Outlook:

1. Switch to Inbox: [Ctrl] + [Shift] + [I]

2. Switch to Outbox: [Ctrl] + [Shift] + [O]

3. Check name from Address  Book : [Ctrl] + [K]

4. Send: [Alt] + [S] OR [Ctrl] + [Enter]

5. Check for new mail: [Ctrl] + [M] OR [F9]

6. Open  a received message: [Ctrl] + [O]

7. Display the address book: [Ctrl] + [Shift] +[B]

8. Convert a message to plain text: [Ctrl] + [Shift] +[O]

9. Add a quick flag to a message: [Insert]

10. Display flag or follow up dialogue box: [Ctrl] + [Shift] +[G]

11. Show the properties of selected items: [Alt] + [Enter]

12. Display Send/Receive progress(When a Send/Receive is in progress): [Ctrl] + [B]

Keyboard shortcuts for Navigation in MS Outlook:

1. Switch between Navigation Pane, the main Outlook Window, the Reading Pane, and the To-Do Bar :[F6] OR [Ctrl] + [Shift] + [Tab]

2. Go to a different folder: [Ctrl] + [Y]

3. Go to the Search Box: [F3] OR [Ctrl] + [E]

4. In the Reading Pane, go to the previous message:[Alt] + [Up Arrow] OR [Ctrl] + [ I ] OR [Alt] + [Page Up]

5. In the Reading Pane, page down through text: [Space]

6. Expand or collapse a group(when a group is selected ) in the navigation Pane: [Shift] + [+] OR [Shift] + [-] respectively. [Spacebar] also delivers the same functionality.

7. Collapse or Expand a group in e-mail message list: [Left Arrow] OR [Right Arrow] respectively

8. Move to next field in the Reading Pane: [Shift] + [Tab]

9. Move to previous field in reading pane: [Ctrl] + [Tab]

10. Next Item( with item open e.g. e-mail message): [Ctrl] + [.] OR [Ctrl] + [>]

11. Previous item( with item open e.g. e-mail message): [Ctrl] + [ ,] OR [Ctrl] + [<]

12. Go forward to the previous view in the main Outlook Window: [Alt] + [Right Arrow]

Keyboard shortcuts for Search in MS Outlook:

1. Clear the search results: [Esc]

2. Expand the search to include All Mail Items, All Calendar Items, or All Contact Items, depending on the module you are in: [Ctrl] + [Alt] + [A]

3. Expand the Search Query Builder: [Ctrl] + [Alt] + [W]

4. Use Advanced Find: [Ctrl] + [Shift] + [F]

5. Create a new Search Folder: [Ctrl] + [Shift] + [P]

6. Search for text within a message or other item: [F4]

7. Find and replace text, symbols, or some formatting commands within open items. Works in the reading Pane on an open item: [Ctrl] + [H]

8. Find next during text search within a message or other item: [Shift] + [F4
